  • ACA Compliance & Reporting Solutions: Payroll & HR Support | iBusinessSolutions

Simplify ACA compliance, IRS reporting, and employee benefits tracking with ACA management solutions from iBusinessSolutions. ACA Compliance & Reporting Solutions for Employers LEARN MORE What is the ACA? The Affordable Care Act (ACA) is a federal law designed to expand access to health insurance. ACA requirements depend on the size of the business. For employers, the most significant provision is the Employer Shared Responsibility, also called the Employer Mandate, which applies to Applicable Large Employers (ALEs). An employer is considered an ALE if it averaged 50 or more full-time employees, including full-time equivalents, in the prior calendar year. It’s important to note the ACA definition of a Full-Time Employee. Employees are considered full-time they work 30 hours per week OR 130 hours per month. This is lower than the traditional 40-hour standard and often catches employers by surprise. What are the core ACA requirements for Applicable Large Employers? If an employer is an ALE, they must meet all three of the following standards: 1. Offer Coverage to at least 95% of Full-Time Employees Coverage must be offered to full-time employees and their dependents, including children up to 26 years old. 2. Minimum Essential Coverage (MEC) The plan must qualify as Minimum Essential Coverage, meaning it satisfies ACA’s baseline benefit requirements. 3. Affordability & Minimum Value Affordability: Employee-only premiums cannot exceed a set percentage of household income. Minimum Value (MV): Plan must cover at least 60% of expected medical costs. What Triggers ACA Penalties? ACA penalties are enforced by the IRS and are triggered when both conditions are met: The employer fails to offer compliant coverage or fails affordability/MV rules At least one full-time employee receives a Premium Tax Credit through the ACA Marketplace. What are the types of Penalties that can be issued? 4980H(a) – Failure to offer coverage to at least 95% of full-time employees 4980H(b) – Coverage offered but not affordable or not minimum value What support can we provide? Employer Size & ACA Applicability Guidance: our solution provides extensive reporting to ensure hours are tracked according to the ACA standards and that employers know when they meet the requirement as an ALE. Reports are also ready and available for potential audits. Group Benefit Plans design and affordability strategy to ensure MEC and MV standards are met. IRS Reporting & Documentation Support with Forms 1095 preparation and processing Ongoing compliance monitoring and risk management as well as employer communication & education Find out why iBusinessSolutions is #1 in Sarasota for Payroll, Human Capital Management, Timekeeping, Workers Comp, and Health Insurance. • Medical Practice Payroll, HR, & Benefits | iBusinessSolutions

Stop overpaying PEOs. iBusinessSolutions offers high-tier healthcare payroll, compliance, and benefits with transparent, a la carte pricing. Precision Payroll & Compliance for Medical Practices For Your Free Demo Call (941) 487-7275 Focus on Your Patients. We’ll Focus on Your People. In the healthcare industry, there is no room for error. Whether you are managing a private practice, a multi-location clinic, or a specialized surgical center, your payroll and compliance needs are far more complex than a standard business. Between rotating shifts, multiple pay rates for different providers, and the heavy burden of healthcare regulations, "good enough" payroll isn't enough. At iBusinessSolutions, we provide specialized medical payroll services designed to turn your administrative headaches into streamlined, automated workflows. We combine top-tier technology with a people-centric approach to ensure your practice remains compliant, your staff stays satisfied, and your focus remains on quality care. Explore Medical Practice Solutions Solving the Complexities of Medical Payroll Simplify Complex, High-Risk Payroll Structures Managing medical staffing payroll involves more than just cutting checks. From physicians and RNs to per-diem staff and administrative teams, medical practices face unique pay structures, shift differentials, and rotating schedules. The Pain Point: Manually calculating varied pay rates and tracking hours across different roles increases administrative burden and the risk of penalties. The iBusinessSolutions Solution: Our integrated HR technology is your one-stop shop. We offer automated payroll for medical clinics with easy-to-use, self-serve time and attendance solutions. Effortlessly process multiple pay types, monitor compliance in real-time, and eliminate the manual "paper trail" that leads to errors. Navigate Heavy Regulatory and Benefits Compliance Healthcare employers operate in one of the most strictly regulated environments in the country. Between ACA requirements, CMS, OSHA, and state-level rules, the pressure to maintain compliance is relentless. The Pain Point: Non-compliance with health plan non-discrimination rules or complex benefits integration—especially during practice growth or acquisition—can lead to massive fines and legal exposure. The iBusinessSolutions Solution: Our team of licensed experts provides comprehensive administrative services to simplify your benefit plans. We handle the heavy lifting of medical payroll and benefits integration during onboarding, ensuring you stay compliant with all federal and state mandates. Control Workers’ Comp Costs and Reduce Risk Medical professionals face specific workplace risks, from needlestick injuries to patient-handling strains. Furthermore, classifying different roles correctly for insurance purposes is a frequent challenge for medical office managers. The Pain Point: Improper employee classification or unexpected premium spikes during audits can cripple a practice’s cash flow. The iBusinessSolutions Solution: We protect your practice through our integrated Learning Management System (LMS) and HR platform, allowing you to automate safety training and document compliance records insurers demand. Our licensed experts assist with precise employee classifications, and our Pay-As-You-Owe (PAYO) system syncs your premiums directly to real-time payroll. No more "surprise" bills at the end of the year. Why Medical Practices are Moving Away from PEOs Many medical practices feel "trapped" in a PEO (Professional Employer Organization) model. While PEOs offer convenience, they often charge administrative fees based on a percentage of your total payroll. The Problem For a medical practice, where physician and specialist salaries are high, you end up paying a massive "tax" to your payroll provider just because your staff is highly compensated. The iBusinessSolutions Solution We offer the same high-tier benefits and enterprise technology but with transparent, a la carte pricing. You keep your own tax ID, maintain control of your practice, and save thousands—if not tens of thousands—annually by eliminating percentage-based fees. The iBusinessSolutions Difference: Real People, Real Integrity We know that in a medical setting, if payroll is wrong, it affects the morale of the people saving lives. You shouldn't have to wait in a 45-minute phone queue to fix a paycheck error. Awesome People-Centric Service When you call, a real person answers. You get a dedicated representative who knows your practice, your staff, and your specific needs. Values-Driven Partnership Founded on core Christian values, our mission is to serve. We aren't just a software vendor; we are a partner that goes the extra mile because we believe in the work you do. Nationwide Capability Whether you are in Florida, our backyard, or operating clinics across state lines, our technology and expertise scale with you. Stop Overpaying for "Big-Box" Medical Payroll Most medical practices are forced into rigid, expensive contracts by national providers who don’t understand the nuances of healthcare labor laws or medical shift differentials. At iBusinessSolutions, we provide the freedom to only pay for what you need. The iBusinessSolutions Guarantee: No Call Centers: You have a direct line to your dedicated expert. Simple Onboarding: we make the transition easy and handle the heavy lifting of data migration. Integrity First: We operate with total transparency, ensuring your practice is handled with the highest ethical standards. • Workers Comp Insurance in Florida | Pay-As-You-Go Plans | iBusinessSolutions

Simplify workers comp insurance in Florida with expert support from iBusinessSolutions. Enjoy pay-as-you-go plans, no large down payments, and expert audit support. Simplify Workers’ Compensation in Florida with Pay-As-You-Owe Coverage Choosing the Right Workers’ Comp Policy can give you predictable cash flow. Most states require businesses to carry Workers' compensation insurance and requirements can vary based on factors such as location, industry, and number of employees. In Florida, eligibility is based on employee count, and workers’ compensation rates are set by the state. Because rates are regulated, the real difference from one agency to the next is the expertise, service, and support they provide. With over twenty years of nationwide experience, we specialize in making workers’ compensation simple and stress-free. We take the burden off your shoulders by actively managing your policy and helping you avoid costly mistakes. Our Pay-As-You-Owe payment plan eliminates large down payments, improves cash flow, and aligns your premiums with actual payroll, which frees up capital you can reinvest in growing your business. We go beyond placing a policy. Our team assists with inspections, audits, class code verification, compliance guidance, and other critical details that can significantly impact your costs and exposure. No matter where you operate, we provide the hands-on support and expert advice businesses need to stay compliant, control expenses, and focus on what matters most running their business. REQUEST A FREE QUOTE Understanding PAY-AS-YOU-OWE, or PAYO Are you tired of paying installments based on estimated payroll amounts? Are you tired of taking time out of your busy schedule to remit payment? Not only is it time-consuming, but an installment pay-plan can often lead to an unexpected audit balance. Since the premium for a Work Comp policy is based off the estimated annual premium for the following year, it can be challenging to track. There may be natural rises and falls in your payroll throughout the year, which has a direct impact on the premium paid to the policy. With PAYO, the premium is based on the specific amount of payroll for each check date. This prevents inaccurate premium payments, which often leads to unpleasant audit results. Although comp audits rarely result in a zero balance, the PAYO payment plan allows for significantly more accurate audit results. Our PAYO program allows you to reap the benefits of your comp policy without the stress and loss of time. To find out more, please reach out to our Work Comp department for more details. Multiple Carriers & Plan Arrangements We have access to many A-Rated insurance carriers who offer safety resources, dividend plans, deductible options, and several types of rating plans. Whether it’s a guaranteed cost, or a retro program, we have specific plans to meet your needs. 20 Years of Experience in Florida Workers’ Compensation Drug-Free Workplace Programs Workplace Safety Programs Return to Work Programs Claims Analysis Trying to control your claims experience can leave you feeling powerless. We can help! Our tools and resources help us respond to, track, and manage losses as they occur. We can also analyze your aggregate loss history to determine where significant losses are occurring and develop strategies to mitigate them. Premium Audits Premium Audits occur annually for Workers’ Compensation, approximately 30-60 after the policy renews. We understand that it can be stressful, and we are here to help! Our team is able to provide you with the majority of the necessary paperwork to complete your audit. We are here to support you through the process by corresponding with the carrier on your behalf and answering any questions you may have. After the audit is completed, we’re happy to review the results with you for better understanding. Are you 100% certain that your experience modification factor is correct?
